The OnTime! Scheduling module is a central location to see an overview of upcoming shifts and pending shift transactions. The OnTime! Scheduling module offers month-by-month viewing of your department’s on call or shift schedule and available future shifts. Physicians can also view real-time shift coverage using OnNow! as well as who is on upcoming shifts. OnTime! is keeping scheduling software simple and organized.
The OnTime! module consists of 8 key features: Dashboard, Shift Central, OnNow, Schedules, Administration, Contact Management, Reports, and Outlook & PDA Synchronization. With each key feature having endless options to make your life easier, Chyma – OnTime! is a point and click application. Physicians have the ability to create a template schedule that can be re-used so your scheduling is done faster without the need of paper, emailing and faxing
- Dashboard
- Dashboard displays your “Shifts” and “Shift Alerts”. You can sort how far ahead you view your shifts (today, 3 days, 7 days, or 30 days) with our drop-down feature.
- “Shift Alerts” are alerts that you have offered your colleagues and/or those that your colleagues have offered you. By accepting a shift the shift schedule will update itself in real-time. The shift alerts table describes the date, the shifts time and duration, the location, and the details of the shift.
- Shift Central
- The “Shift Central” feature will display any shifts that have been listed as “open” and available to all. By clicking the required action link, a confirmation window will appear. Upon having accepted this transaction, the schedule and calendar modules will automatically be updated. You can use the drop down menu to view All Communities or specific communities. The second drop down menu allows you view shifts up to the next 30 days.
- OnNow
- The OnNow feature will display a list of who is On Now, and how to reach them in each hospital department or clinic running the Chyma System.
- The OnNow features your favorites which you can drag and drop folders to organize them how you want. If there are any shifts found in the selected department they will appear on your “stage”. You have the options to “Show Full Day”, “Full Screen”, and “Print”. These are viewing options for the schedule you are viewing. The print option has a print preview window so you know what it looks like before sending it to the printer. Within this print preview are settings you can use to change how you like to have your schedules printed.
- Contact Management
- Always have the correct contact information for your physicians. Chyma™ ensures that contact information is there when you need it. Using paper contact information or Rolodex’s will be a thing of the past.
- The contact management is centralized and secure.
- PDA/Outlook Sync
- You can synchronize your calendar events, schedule, and contacts with your Outlook client or your hand-held device. When you make a change on your device or in outlook it will automatically sync your new changes.
- Administration
- You can easily create schedules, templates, add members, and view reports using the Administration feature. You are able to take schedules “Online” or “Offline”, with one click. Templates allow you to create schedules once. You can re-use these schedule templates as much as you need to to re-create schedules quickly and easily.
- The member list is where you add or remove members from a community to view the schedules you’ve created.
- Reports
- Reports can be used to calculate work such as how many hours and/or shifts a certain employee is working, or has worked. The reporting tool does the math for you and eliminates the use for paperwork. You can export this report into your Microsoft Excel program, and/or print the report.
- You can customize the view of your reports however you like. For example, You can set up your reports to report employee A’s shifts and hours; by day a week that employee has worked. To assist you, A calendar popup appears to view the time span you want to view reports for, on this employee.
- Schedules
- View your department or clinics entire month-long call schedule in one location. Finally, you can rest assured that the schedule you are viewing is up-to-date! As a result of Chyma’s advanced scheduling engine, all shift modifications are viewed in real-time.
- Schedules also features the drag and drop feature so you can organize your favorites list to however you would like it organized. This sub-module also features a legend describing what each color code represents so you never make mistakes.
- Once you have found a shift you want to make some changes to, clicking it once will open a pop-up with information pertaining to that specific shift as well as four “actions” you can perform on your shift: Offer to All, Offer to All (trade only), Give to a User, Propose Trade.
